Host FAQ
If there is anything else you need help with, feel free to get in touch – hello@fundraisingeverywhere.com
We’ve pulled together the most common questions raised by our event hosts. Find quick answers here on everything from tech setup, to keeping the conference on track, to what to do if things go wrong, and the importance of trusting the backstage support team.
A strong, stable internet connection is critical – wired (Ethernet) is best. Use a headset or external microphone for clear audio, and a high-quality webcam positioned at eye level with good front lighting. We recommend using a desktop or laptop, and Chrome or Firefox for the best performance.
The most crucial tip is to keep your laptop plugged in. Live streaming and hosting duties can drain your battery unexpectedly fast.
No, absolutely not. You should familiarise yourself with the session themes and speakers using the briefing document, but your role is to “stitch” the event together, not memorise it. Knowing the general scope helps you make smoother introductions and transitions.
Use visual cues or a polite verbal prompt during a natural pause. For instance, you could say: “Just a quick time check, we have five minutes remaining before the break,” to gently guide them back on track without creating awkward tension.
Your role is to “stitch” the sessions together and set expectations for delegates. This involves framing what is coming next, making smooth transitions, and acknowledging the audience to maintain flow and energy.
Never let a silence hang. Use small connecting comments, such as “That was such an insightful session,” or “Next up we will hear from…” Your primary goal is to fill the space smoothly and swiftly to maintain momentum.
You’ll be provided with a host brief document which will contain some cues and pointers to keep you going.
Stay relaxed and be yourself. A conversational tone makes the event feel much more welcoming and helps you connect authentically with the audience. You are there to guide, not to perform perfectly.
Acknowledge the chat! Look directly at the camera and use phrases like, “We are seeing great questions coming in from the chat.” You can also share reflections and then ask the delegates to share theirs, bridging the time lag effectively.
Your primary focus is on the content, speakers, and audience. Fundraising Everywhere provides strong backstage support to handle tech, chat moderation, and cues.
Your preparation is your foundation for peace of mind. The more familiar you are with the flow and speakers, the easier it will feel to stay calm. Remember that even experienced professionals rely on detailed notes or cue cards: there is no need to improvise critical details.
Yes, absolutely! If you see opportunities where FE can add value to the delegate’s experience (e.g., adding materials to a delegate bag), use the backstage chat to communicate with the team. They will work their magic to make it happen.
Yes, even if you’ve spoken on one of our events or conferences in the past, we require you to attend a brief tech rehearsal. This is your chance to familiarise yourself with the event platform, test your camera and microphone, ensure your slides work, and understand the session format. You can book your rehearsal here: calendly.com/barbara-fundraisingeverywhereplus/30min
If the available slots don’t work for your schedule, please reach out directly to your event lead. We’ll do our best to find an alternative time that accommodates you.
This information will be provided in your full briefing document. Keep it readily accessible so you can contact the FE support team immediately if you encounter a significant technical issue.
