
Role: Business Operations & Admin Assistant
Salary: £27,000 / €31,050 pa (TBC)
Hours: 30 per week, worked at any time through the week between 7am – 7pm UK/Ireland time

Working alongside: Co-Founders, Head of Membership Engagement, CX Manager
Reporting to: Simon Scriver
Location: Fully remote, UK or Ireland. Occasional travel to sector events and team meetings.

About the role
Fundraising Everywhere host virtual events designed to support fundraisers and marketeers. Since launching, we’ve focused on creating accessible, well-run sessions that are genuinely useful for our community. As the organisation and our community grows, we’re putting more structure in place to ensure our operations, systems, and communications continue to work effectively.
We currently deliver monthly online conferences, workshops, and webinars, alongside occasional in-person networking events across the UK and Ireland. These activities support a community of over 15,000 fundraisers and require consistent coordination, administration, and attention to detail behind the scenes.
We’re looking for a highly organised Business Operations & Admin Assistant to support the smooth running of Fundraising Everywhere.
You’ll work across events, campaigns, membership, and internal systems. Your job is to make sure admin gets done reliably and on time: event and campaign setup tasks, customer support, data management, file conversions, finance admin, and keeping our processes on track.
Key Responsibilities
Event & Campaign Admin
- For every event and campaign, you will help complete a clear checklist of tasks, including:
- Support setup and testing of registration forms and event pages (using our existing templates and tools)
- Check that links, confirmations, additional resources and reminder emails are set up and working as expected
- Help transition content to on-demand after events (e.g. uploading files, adding links, updating pages)
- Complete post-event admin tasks, such as download, convert and organise videos, transcripts and caption files
Data, CRM and Finance Admin (Salesforce and Other Tools)
- Managing Salesforce CRM records including data cleaning and hygiene
- Build and run basic reports or exports when requested
- Data Protection administration:
- Follow a clear checklist of data tasks (e.g. deleting certain data after events, updating logs)
- Maintain simple trackers or logs provided by leadership or our external advisors
- Ensure documents and forms use the latest approved wording when instructed
- Support with sending, managing and tracking invoices – including record keeping, invoice chases, and allocating payments
- Send contracts and agreements to partners as requested (from existing templates)
Inbox & Customer Support
- Support with management of the company email inbox day-to-day
- Respond to common queries using templates and guidance, logging contacts and tasks
- Escalate membership-specific or complex questions and opportunities to relevant team member
- Keep a simple record of recurring issues to help us improve journeys and FAQs
- Some customer service via telephone as required
Projects & General Admin Support
- Support with management of the company email including responding to, escalating, and customer service tasks
- Identify and suggest improvements to processes to contribute to our overall efficiency, and help drive forward internal projects
- Assist with the cataloguing and maintenance of forms, content and automations
- Build and improve processes and automations using Zapier and Salesforce
- Support regular checks and maintenance of forms, pages and journeys
- Keep the centralised team training manual updated with new processes

What we’re looking for:
- Very organised and reliable, with good attention to detail
- Enjoys admin and ticking things off a list
- Comfortable working with online tools (and learning new ones)
- Can follow processes and checklists, and keep them updated
- Communicates clearly, personably and professionally
- Can regularly analyse activity and develop plans for continuous improvement
- Able to juggle tasks and ask for help when priorities clash
- Is a team player and can work alongside others on shared goals
- Is (very) organised and proactive in spotting opportunities and working towards them
- Experience in Salesforce and Zapier.
- Experience in admin, customer service or operations is helpful but not essential
- Experience with WordPress, Mailchimp and livestream tools is a bonus, not a requirement.
